Cards and documents

Employee

With Cardlink: checking the cost centre and settling the invoice 30 s A fixed assumption of the calculator. The invoice is already in the app and matched with the payment. The employee does not need to look for it or fill in any data. They only check the cost centre and approve the expense.

Accounting

With Cardlink: handling a card transaction 2 min A fixed assumption of the calculator. The statement line reaches accounting already matched with its document and with a ready booking. The accountant only checks and approves it.

With Cardlink 95% of documents assign themselves to the right person with no questions asked.

The result is an estimate based on the values you entered and Mindento's assumptions. It is not a commercial offer.

How we calculate the result

The method follows Forrester's Total Economic Impact, a standard for assessing technology investments. It takes costs, benefits and risk into account over several years.

  1. Time saved. For every card transaction we compare employee and accountant time today and with Cardlink. We multiply the difference in hours by the hourly cost.
  2. Risk adjustment. We reduce the savings in money by 10%. This leaves room for a slower rollout and for differences between companies.
  3. A 3-year horizon. You pay for setup at the start. We count the subscription and the savings in each year and discount them at 10% a year to present value.
  4. 3-year ROI. The present value of savings minus the present value of costs, divided by the present value of costs.
  5. Payback. The number of months after which the risk-adjusted savings, less the subscription, cover the setup cost.

Source of the method: Forrester, Total Economic Impact. The calculator is not a Forrester study. Mindento chose the parameters of 10% risk, a 10% discount rate and 3 years.

Frequently asked questions

What is Cardlink?

Cardlink is a Mindento solution that matches company card payments with KSeF e-invoices and receipts in employee expense reports. It works with the cards your company already uses, so there is no need to change banks.

How does the calculator estimate the savings?

The number of transactions per month is the number of cards times the average transactions per card. For each transaction we compare employee time and accounting handling today and with Cardlink. Transactions with a KSeF invoice also include the time spent finding out whose invoice it is. We multiply the difference in hours by the hourly cost and reduce it by 10% for risk. ROI covers 3 years, includes the cost of Cardlink and setup, and is discounted at 10% a year.

What assumptions does the calculator make?

With Cardlink the invoice is already in the app and matched with the payment, and an employee spends 30 seconds checking the cost centre and approving the expense. The statement line reaches accounting with its document and a ready booking, so handling it takes 2 minutes. 95% of KSeF invoices assign themselves to the right person, so the accountant does not need to find out whose invoice it is.

Do I need to change my bank or cards?

No. Employees connect the card the company already uses in the Mindento app, and the expense process is integrated with the company's bank.

Which banks does Cardlink work with?

Cardlink works with company cards from any bank. Payment data reaches Mindento through secure PSD2-compliant account access or from bank statements, for example in the MT940 format. In Poland these include PKO Bank Polski, Bank Pekao, Santander Bank Polska, mBank, ING Bank Śląski, BNP Paribas Bank Polska, Bank Millennium, Citi Handlowy, Credit Agricole, Alior Bank and VeloBank. International banks serving companies in Poland and abroad include Deutsche Bank, Commerzbank, UniCredit, Raiffeisen, Société Générale, HSBC, J.P. Morgan, BNP Paribas, ING, Danske Bank, Nordea and SEB. We choose how to collect the data for each bank and card type during setup.

Which systems does Cardlink work with?

Cardlink uses integrations with KSeF, banks and finance and accounting systems. Ready-made bookings of card statements and e-invoices go to the company's finance and accounting system.

How much does Cardlink cost?

The calculator includes the card subscription and setup in the result. A Mindento advisor will present the offer for your company.

Why does the result need a work e-mail?

We send the result to that inbox so you have it at hand when you discuss it in your company. A Mindento advisor can also help fit the assumptions to your process.
